Oris the key word of a complaint letter — it means "and yet", marking the gap between what was expected and what happened. English "however" is close, butOris more pointed and belongs specifically to this genre.

Why a calm tone is more effective
a cultural rule that also carries marks
Complaining is entirely accepted in France — French people complain a great deal. But the form determines whether it works.
Three principles:
1. Attack the action, not the person.

2. State facts with dates and numbers.

That is far more effective than J'ai appelé plusieurs fois.
3. Use the conditional, even when you are angry.
Pourriez-vous vérifier ?rather thanVérifiez !
And in an exam this is the "sociolinguistic appropriateness" axis. A furious complaint letter, however flawless the grammar, loses marks there.
One phrase that always works:
Je suis sûr(e) qu'il s'agit d'une erreur, mais…
It gives the other person a way out and enlists their cooperation — rather than forcing them to defend themselves.
One habit worth adjusting. English complaint culture — particularly in North America — tends to escalate: state the problem, state your dissatisfaction, invoke your rights. French service culture reads escalation as aggression and closes down. The reliable move is the opposite: stay factual, stay conditional, and hand the other person the solution.
